Overview

The Provider Hub is the front door to your Childhood Interventions tool suite. You sign in once at tools.childhoodinterventions.com and every tool your plan includes appears on one dashboard โ€” one click to launch, with your identity carried through automatically. Providers never juggle separate logins for the COS Tool, Reviews, Session Notes, Management, and the resource libraries.

Administrators use the same Hub to add new providers, set which tools each person can open, reset passwords, and look up account status โ€” all from a built-in admin panel.

Providers sign in with the email and password an administrator set up for them.

Go to the Hub
Open tools.childhoodinterventions.com in any browser. The sign-in screen appears.

Enter your email and password
Use the email and temporary password your administrator sent you. Press Enter or click Sign in โ†’.

You land on your dashboard
Once signed in you see your tool cards. The Hub remembers you on this device, so you won't have to sign in every visit.

Signed in on a shared or public computer? Use Sign out (top-right) when you're done so the next person can't reach your tools.

Forgot your password? There's no self-service reset. Email info@childhoodinterventions.com and an administrator will set a new one for you from the admin panel (see below).

The Business Associate Agreement appears once, not every time. The first time you sign in you'll be asked to read and accept the suite-wide BAA, with your name and organisation. Once accepted it's recorded against your account and you won't see it again โ€” signing in on a new device or browser won't re-prompt you, and it has nothing to do with starting a COS or any other document. The only thing that brings it back is us publishing a revised agreement, in which case everyone is asked to accept the new version once.

Looking for your receipt? Payment is handled by Lemon Squeezy, not by the Hub, so receipts and invoices come from them rather than from us โ€” check the inbox of the address you bought with, including spam, and search for "Lemon Squeezy". Emails we send (your welcome message with your temporary password, and password resets) come from noreply@childhoodinterventions.com. If you can't find either, email info@childhoodinterventions.com.

After sign-in the dashboard greets you by first name and groups your tools into three sections:

A tool your plan includes shows a Launch โ†— button. A tool not in your plan appears dimmed with a ๐Ÿ”’ Not in your plan label โ€” contact your administrator if you need it added.

Launching Tools

Click Launch โ†— on any unlocked card and the tool opens in a new browser tab. The Hub passes your identity through so most tools recognize you without a second sign-in:

Staying Signed In

The Hub keeps you signed in on the device and browser you used, so you land straight on your dashboard on your next visit โ€” no re-typing your password each day. Your session is stored only in your own browser.

Switching devices
The Hub remembers you per-device. On a new phone or computer, sign in once with the same email and password.

Signing out
Click Sign out in the top-right to clear your session on that device. Always do this on shared computers.

Admin: Managing Users

Administrators manage every provider account from a built-in admin panel. It's protected by an admin secret โ€” providers never see it.

How to open the admin panel: The panel is hidden โ€” it doesn't appear on the normal sign-in page. To reach it, go to the Hub's web address and add /?admin to the end, so the full address reads tools.childhoodinterventions.com/?admin, and press enter. The User Management screen opens.

Every action on that screen asks for your admin secret (a private password, separate from your own login). It's what keeps the panel locked to administrators โ€” keep it private and never give it to a provider.

Add or update a provider

Enter the admin secret
Type your admin secret at the top of the User Management card.

Fill in name, email, and a starting password
Enter the provider's full name and email, plus a temporary password they'll use for their first sign-in.

Check the tools they should have
Tick the tools to grant: COS Tool, Reviews, Session Notes, Management, and Library. Only checked tools will be launchable on their dashboard.

Save and copy the handoff details
Click Add / Update User. A "Next steps" panel appears with the email and password to send the provider, plus their first-time setup checklist.

Resetting a password: Enter the provider's existing email, type a new password, and save. Their name and tool access stay exactly the same โ€” only the password changes. To change tools without touching the password, leave the password field blank.

Look up a provider

Scroll to the Look up a user box, enter the admin secret and their email, and click Look up user. You'll see their name, whether the account is active, which tools they can access, and when they last logged in โ€” handy for confirming a new provider signed in successfully or auditing who has access to what.

Onboarding a Provider

The full path from "new hire" to "working in the tools" is short. After you add them in the admin panel, send the provider these steps:

Sign in to the Hub
Go to tools.childhoodinterventions.com and log in with the email and temporary password you were sent.

Approve the Google sign-in for Session Notes
The first time you open Session Notes, approve the Google sign-in popup so the tool can save notes to your Drive.

Create your EI Records shared drive
In Google Drive, use the left sidebar โ†’ Shared drives โ†’ New and name it exactly EI Records. You're the Manager โ€” don't add other providers to it, which is what keeps your caseload's PHI private to you. Child folders are handled for you: when a referral comes in and you make that child's initial folder, just put it inside EI Records and name it with the child's name (First Last or Last First โ€” order doesn't matter) and the tools will find and reuse it. If you haven't made one, the first save creates it automatically โ€” no duplicates either way. (An older drive named Session Notes still works if you already made one.)

Connect your spreadsheet
For Session Notes and Provider Management, copy the spreadsheet template you were given into your own Google Drive (File โ†’ Make a copy), then paste that copy's URL when the tool asks for it. Sign in with Google when prompted so the tool can read your sheet.

Set up Provider Management (if you have it)
The first time you open Provider Management, it asks for a one-time setup: sign in with Google, paste your Google Sheet URL, and fill in your provider details โ€” your name, discipline, home address (used to calculate travel mileage), and your FLEPIC billing rate. Click Get Started and your caseload and schedule load right away. You only do this once per browser.

Outside Florida? Steps 3โ€“5 don't apply to you. The Google Drive and roster-spreadsheet setup โ€” and the Sync from Sheet, Save to Drive and Pull from Drive buttons inside the tools โ€” are part of the Florida Early Steps workflow. The out-of-state version of COS and Reviews is deliberately Google-free: you enter children by hand and download the finished document. If you don't see those buttons, nothing is broken or missing from your plan โ€” they aren't part of your version.

Access & Privacy

The Hub itself is a launcher and sign-in gate โ€” it doesn't store clinical records. Here's what lives where:

HIPAA Note: No Protected Health Information passes through the Hub. Child names, session notes, and billing data all live inside the individual tools and your own Google account โ€” each covered by its own privacy and storage model, described in that tool's guide. The Hub only holds provider sign-in accounts (names, emails, tool access) so it can route the right people to the right tools.
